How do i share a zoom recording link

UW Zoom meeting hosts who record a meeting to the Zoom cloud can share a URL link of the recording. By default, UW Zoom cloud recordings are restricted to viewers with a UW NetID and downloads are disabled.

Note: HIPAA UW Zoom meeting hosts using Zoom for patient care are not able to record to the Zoom cloud.

The meeting host can get the recording URL share link and change sharing settings. From the UW Zoom Recordings page, click Share.

  • Share this recording: Allows the recording to be shared publicly or restricted to viewers with a UW NetID. Switch the toggle off if you want the recording to be private.
  • Add expiry date to the link: Allows you to set number of days or specific date when the link will expire for viewers. Cloud recordings automatically delete after 90 days. If you wish to make the recording available longer than 90 days, download the video and upload to UW Panopto (limited to UW courses), UW Microsoft Stream, or UW YouTube.
  • Viewers can download: Allows viewers to download the video in addition to viewing it online. Downloads are disabled by default for UW Zoom.
  • Viewers can see transcript: Allows viewers to see the auto transcript if Zoom was able to process one.
  • On-demand(Registration Required): Requires users to enter their name and email address before viewing or downloading the recording. The host will be able to download a report with this information.
  • Password protection: Requires users to enter a password before viewing or downloading the recording. After toggling this to on, enter a custom password and click Save.
  • Copy sharing information to clipboard: Copies the link and password (if enabled) to your cloud recording. Share this information to allow others to view the cloud recording.

Please note:

  • Zoom automatically transfers new cloud recordings to MU Video.
  • Zoom recordings are deleted from Zoom 90 days after the recording is created.

  1. Go to the Zoom site.
  2. Click Manage.
  3. Log in if prompted.
  4. In the left column, click Recordings.
  5. In the right column, on the Cloud Recordings tab, locate the recording you wish to share.
  6. Click the Share... button for that recording.
  7. Click the Copy To Clipboard button.
  8. Go to where you wish to share the recording: within a D2L course, in an email message, etc.
  9. Paste the recording information and link.

 Extra Steps for Instructors: Sharing a link in your course

  1.  Click on "Resource" in the navigation bar.
  2.  Select "Content" from the menu that opens.
  3. Open up the Module or Week you want to insert the link into and select Upload > Create a link.

4. Input a Title and paste the share link in the URL dialogue boxes and check the box "Open as an External resource" as seen below and click 'Create.'

Cloud Recording

Yes, you can email a link to your Zoom Cloud Recording by copying the recording link and pasting it in an email. Please see step-by-step instructions below on how to copy and paste Zoom Cloud Recording Link:

  1. Locate the Cloud Recording by following the instructions on the link above.
  2. Click Share next to the Recording you wish to share
  3. Click Copy Sharing Information then click Done
  4. You may now paste the sharing info (including the Zoom Recording link) anywhere you like (such as a composed email, message, eClass page, etc...)

Local Recording

Yes, you can upload a local recording to a cloud storage service (such as Dropbox, OneDrive, Google Drive, etc...) then copy the link and paste it in an email. Please see step-by-step instructions below on how to share Zoom Local Recordings:

Will they need to download the recording?

Cloud Recordings do not need to be downloaded. They can simply be streamed online. However, although it is possible for local recordings to be streamed on the cloud service that they are being shared on, it is highly suggested to download local recordings instead and play them locally instead of streaming them on the cloud service, as steaming .mp4 files on the cloud may potentially cause streaming issues.

How do I make sure Cloud Recordings are shared securely?

Here are a few security measures that you can implement throughout the process of sharing a Recording in order to ensure the security and access restriction to your recording.

  1. Locate the Cloud Recording by following the instructions on the link above, then enable Only authenticated users can view instead of leaving it accessible publicly. This will require users to authenticate via Passport York in order to be able to view it.
